how it works

the life of a room, from departure to key

Follow room 41, from the departure recorded in the PMS to the digital key in the next guest's phone.

floor team side

Room 41 appears in the round, as a priority stayover: the PMS announced a 3pm arrival. The day reads on the phone.

screen 18:12am, the departure lands
01
front desk side

Nothing to dictate over the walkie-talkie: the round built itself on the day's departures, stayovers and arrivals.

floor team side

The housekeeper moves 41 to “in progress” from her phone, in her language, in two taps. She does not go back down to tell anyone.

screen 210:30am, the round advances
02
front desk side

The board updates to the second. You know what to tell the guest who shows up early, without calling the floors.

floor team side

Status “ready”, and on the way a photo of the dead bulb: the maintenance ticket goes out, linked to room 41.

screen 311:05am, the room is ready
03
front desk side

The PMS receives the status with no re-typing, the room goes back on sale. Maintenance is already notified, photo attached.

floor team side

Nobody presses anything: the “ready” status was enough. The round continues, reorganised if the day moves.

screen 411:06am, the key goes out on its own
04
front desk side

The digital key goes out to the next guest's phone. Whether they arrive at 3pm or 11pm, everything is ready, with no queue at the desk.

rooms that turn around faster

A room ready earlier is an early arrival accepted, a sale that does not get blocked, a digital key that goes out without intervention. Time per room is measured, rounds are sized on reality, and the PMS stays the source of truth, with no double entry anywhere.

no more chasing statuses

“Is 41 ready?”: the answer is on the screen, to the second, with no walkie-talkie and no call to the floors. Early arrivals are handled with confidence, the digital key goes out on its own, and the guest waiting at the desk for a room that is already ready becomes a memory.

cleanliness, the number one review topic

An impeccable room ready on time is the foundation of the rating. Issues handled before arrival avoid the review that hurts, and feedback captured during the stay gets fixed while there is still time. The quality of the floors always ends up online.

the proof

in an aparthotel, the ready room sends the key

le contexte

An aparthotel without a night desk cannot afford a unit announced ready that is not. Unit turnaround is the heart of the business, and it used to play out over the phone.

le dispositif

Statuses synchronised with the PMS both ways, rounds built on the day's departures, maintenance reported by photo. When the unit goes “ready”, the digital key goes out automatically, via Salto, ASSA ABLOY or Vikey.

the result

The guest arrives at 11pm, their key is in their phone, nobody is waiting for them at a desk: their online check-in took 2 minutes. Turnaround is steered in real time, with no compulsory night desk.

“Self-service check-in, connected locks: less staffing, more service.”

“it duplicates the PMS housekeeping module”

No: it plugs into it. Synchronisation is two-way, the PMS stays the source of truth, and a status changed on one side shows on the other to the second, with no re-typing. What Bowo adds is the interface PMS modules do not have: designed for the field, on a phone, in several languages, with the rounds, photo-based maintenance and the digital key at the end.

“my housekeepers are not comfortable with screens”

The interface was designed for them: two taps to change a status, one photo to report a fault, in their language. Training takes an hour, on a phone they already know, one per person or per floor. And if someone gets stuck, that is our problem during onboarding, not yours: a dedicated contact follows the launch.

“our printed morning sheet is enough”

It is enough until the first early departure. At 10am, the 8am sheet is already wrong, and the information travels on foot or by walkie-talkie. With living statuses, the round reorganises when the day moves, and the front desk answers the guest without calling the floors. Paper does not keep up with reality; the screen does.

“my teams will experience it as surveillance”

The tool coordinates, it does not watch: it spares the housekeeper going back down to inform, repeating over the walkie-talkie, being chased about a room that is already ready. Time per room is used to size sustainable rounds, not to punish. In the field, it is experienced as fewer interruptions, not as a time clock.

does it replace the PMS housekeeping module?

It complements it: statuses synchronise both ways, and your teams gain an interface designed for the field.

does every room attendant need equipment?

One phone per person or per floor is enough: the interface is designed to be fast, in several languages.

and maintenance?

A photo report creates a ticket linked to the room, with an optional sales block until it is resolved.

which PMSs does the synchronisation work with?

Opera Cloud, Mews, Apaleo, Planet and others, both ways: statuses, departures and arrivals flow with no re-typing. If yours is not there, we look at it together during onboarding: it is often a matter of days.
